The How’s, When’s, and Who’s of Building Your Dream Team!

We all know, being an entrepreneur is no joke. It’s hard freakin’ work to chase your dreams!

And many entrepreneur newbies (and veterans alike) often find themselves doing absolutely everything in their business – from social media to emails to brand masterminding and more along with their other commitments.

Forget hard work juggling all those pieces by yourself has to be one of the toughest jobs out there!

When is it time to call it quits on your one-woman-show?

Who should you hire first? What does a “normal team” look like for a coach?

These are the questions I’m tackling in today’s Coaching Business Q&A episode, featuring the amazing Cristin Zegers! Cristin is a life coach and a feng shui consultant on a mission to help her clients design inspired lives and inspired homes.

I just had the pleasure of spending a weekend with her at The Captivate Performance (which was a HUGE hit and went so great) and The Captivate Retreat. I can’t wait for you to meet her in today’s episode.

As women business owners, we wear a lot of hats, don’t we? We’re entrepreneurs, partners, mothers, daughters, friends, CEO’s, and not to mention coaches, holding space for our clients.

All of these roles require us to be present, supportive, and giving. So when overwhelm starts creeping in, and causing stress that can put us on the fast track to burnout it’s time to start building a team.

But when’s the right time to bite the bullet and hire that support? When should you step up and say “OK, it’s time to get a group of awesome people behind me and make bigger stuff happen?”

The truth is this: you WILL reach a moment when you’ll have two choices. You can 1) give up, stay stuck in overwhelm and not able to grow or expand… or 2) you can hire a team and make it to that next level of success.

And I recommend #2. Because loving reality check: You WILL not be able to do it alone.

You need people there to catch you if you stumble and fall, otherwise you’ll just get stuck in that rut. And we can’t let that happen!

Basically, you’ll know you’re ready when you don’t have the time to work on the things you’re BEST at or that only YOU can do, because you’re too busy dealing with everything else.

For example, when you realize you don’t have time to take on new coaching clients or create and fill your first group coaching program, because you’re just too busy…

…Cooking dinner for the family.
…Picking up the kids from after school activities.
…Setting up client sessions and handling your flooded email inbox.
…Writing and posting blogs for your newsletter.
…Trying to figure out Facebook ads.
…and more!

With all of that to handle, there’s also no time for the things you really desire  like self-care, rejuvenation, speaking on stage, creating signature programs, and coaching your clients.

Which is really ALL you should be doing, right?

But I know your next thought: “Isn’t it expensive to have a team of people behind me?”

Well, think about this: How much are you worth per hour?

I guarantee hundreds, while most of the support you are going to hire will be $10-$50 an hour. That means, by creating the free time for you, you’re actually making your money back.

So, now that little mind block is out of the way: what do you do first? And who do you hire?

Here is a list of support you should be looking to invite in, in order of importance.
  1. Life coach, business coach, spiritual coach, mastermind, sisterhood, personal trainer, massage therapist, and manicurist build your self-care dream team FIRST.
  2. House cleaner or personal assistant to help you with the daily tasks for your personal and family life. If you’ve got kids, focus on finding the perfect babysitter – this will give you more free time to create.
  3. Virtual Assistant should be next to help you automate tasks, and take over the things you do not need to be doing like scheduling, setting up blogs, responding to emails, and anything that you do on your computer that someone else can take over.
  4. Business Manager to run your whole business, team, daily actions, budget and future vision implementation
  5. Copywriter to write newsletters, blogs, sales pages, website copy, social media content.
  6. Social Media Assistant to post and track social media engagement.
  7. Graphic Designer to handle social media graphics, website, landing pages and launch design.
  8. Website Designer to create an online home for you message
  9. Brand Strategist to create and elevate your brand.
  10. Tech Assistant to manage website and systems management.
  11. Photographer and videographer to make you look good.
  12. Make-up artist for events, media.
  13. Project Manager to manage create, launch and manage your dream projects.
  14. PR pro to build your exposure.
  15. And, at the end of it all, a CEO someone to run the entire company and expand it without you.

Don’t have the money to hire your first team member just yet? Reach out to find friends and family members who can support these roles for free, or for a expertise trade.

But, most importantly, I want you to recognize: by acting wealthy you become wealthy.

As soon you you hire your first team member, you’ll rise up with their support, which will increase your income and ability to pay them.

I started out by offering a free coaching package to my BFF who was a personal trainer, a woman who was a massage therapist, and a reiki energy healer. This was my first self care team, and it cost me nothing more than my time (also an ideal situation, because I needed the coaching practice anyway!)

Now, you might be wondering: who do I have on my current team?

Well, here’s the list as it stands:

  • Life coach
  • Spiritual coach
  • Goddess/priestess training
  • Personal trainer
  • Business mastermind
  • Sister circle (weekly)
  • Acupuncturist
  • House Cleaner (2x per month)
  • Virtual Assistant
  • Business Manager
  • Retreat Coordinator
  • Project Manager
  • Marketing Strategist
  • Website Designer
  • Copywriter
  • FB ads specialist
  • Videographer/Editor
  • Make-up artist

 

This incredible group of people has helped me make HUGE strides in my business this year, and hit my biggest profit goals ever. I’d be lost without them! But, most importantly, I bow to their genius. They bring out the very best in me, my work, and my vision.

So remember, my beautiful lights: Your time is worth it. Your dreams are worth it. And they will come true when you say yes to receiving.

When you’re ready to start looking, the best place to begin is to create a role description, and tell your tribe, your clients, and everyone you know exactly who and what you’re looking for!

You can also post the job listing in Facebook networking groups, or find a boutique hiring agency or websites like cafemom.com online.

  1. Love this topic, Jey!! Great advice and resources provided here! I currently have a VA and my next move is to look to hire an industry-specific VA and a videographer/editor for my weekly videos. I’m also calling in a brand designer to help me create a consistent brand to support my business and projects I have in the works and in the queue. 🙂

  2. Wow I hadn’t realized my team could grow to be so large!
    I love that you emphasized the need for our own self care team. I have a hair stylist and am happy to find sisterhood and coaching through Mentor Masterclass for the next year. But as a Massage Therapist myself, I think I should put more focus on doing a massage exchange (or even a coaching for massage exchange!) with a certain regularity!

    And once that is established I know I’d like some help at this launch phase of my business with branding.

    • Christine one of my first trades for my self care team was coaching a massage therapist in exchange for 2 massages per month! I think that is a brilliant idea and bet you could get a solid VA and tech support in exchange for your magic hands! Keep me posted sister!

      I know it can be an overwhelming experience when you hit that moment of transition from doing it all yourself to hiring help. Sometimes it helps to just start with a simple VA, even if it is for trade! Would love to hear what you decide to do first!
